A Year-End Quick Fix (Q041) for processing both 1099MISC and 1099NEC forms is now available.

A Year-End Quick Fix (Q041) for processing both 1099MISC and 1099NEC forms is now available. We encourage our customers to hold off printing their 1099 forms until they have the Quick Fix installed.

The Quick Fix is addressing the following items:

  • 1099MISC—To align the front page copies to align better the pre-printed back for the recipient copy and payer copy on form 5173

  • 1099NEC—To align the Addresses to properly fit into envelope 22222; Also align front pages to match pre-printed back on form 5173NEC

The Quick Fix does NOT require a dedicated environment.

CGC’s Software Delivery Team will be adding the Quick Fix (Q041) to all future Q04 updates.

CGC’s Software Delivery Team will be updating the Hosted environments with the Quick Fix (Q041).

Enterprise/On-Premise Customers need to run a command and if the command comes back with an empty list, they need to get the Quick Fix. See the commands per eCMS environments below.

IMPORTANT! 2020 4th Quarter/Year-End Fix Pack Is Now Available for Installation

The 2020 Fourth Quarter/Year-End Fix Pack (Q04/YE) is now generally available (GA) for installation. All customers at supported release levels, both USA and Canada, will need to install this fix pack!

For non-hosted customers: The Q04/YE Fix Pack requires Computer Guidance installation. If you have not already done so, please submit a ticket with your request for installation of the Q04/Year-End Fix Pack. CGC will contact you to schedule the installation.

For hosted customers: The Q04/YE Fix Pack will be installed by Computer Guidance no later than end of day on Friday, January 9, 2021. This will be done after hours for production environments. To request an earlier installation or no installation, please submit a ticket with your request.

Some Frequently Asked Questions

Q: What CMS/eCMS release levels are supported for the 2020 Q4/YE update?

A: The following release levels are supported:

  • eCMS v.4.1 Service Pack 3 (Fix Pack 6)
  • eCMS v.4.1 Service Pack 2 (Fix Pack 8)
  • eCMS v.3.7 Service Pack 12 (Fix Pack 4)
  • CMS v.3.4.3 Service Pack 14 (Fix Pack 3)

Q: Is the Q04/YE Fix Pack installation dedicated, requiring all users to be signed out of eCMS?

A: The Q04/YE installation is NOT dedicated, users can continue to work in the eCMS environment while the update is installed. However, for eCMS v.4.1 environments, the WAS (WebSphere Application Server) which provides the graphical user interface for eCMS may need to be restarted before running some year-end reporting options. This is done each night on many systems (and all hosted systems) as part of the nightly backup process. If not, the WAS must be manually restarted.

Q: How can I tell if the Q04/YE Fix Pack has been installed?

A: After installation, the value “Q04” will be shown in the version text for the environment. For v.4.1 environments, the version information is shown to the far right of the expanded Blue Bar at the bottom of an eCMS menu screen. The information is available for all release levels on the “About eCMS” Applications screen (ABOUTCMS from green-screen).

Q: Do I have to install the Q04/YE Fix Pack before doing the annual year-end rollover?

A: No. There are no changes to the annual rollover process. The normal year-end roll-over can be run before or after installation of this fix pack.

Q: Do I have to install the Q04/YE Fix Pack before running the first 2020 payroll?

A: No. However, you do need to complete the normal year-end roll-over before running your first 2021 payroll.

Q: Do I need to do anything more than install the Q4/YE Fix Pack before creating W2’s or 1099’s?.

A: Installation of this fix pack is required prior to producing the year-end forms and reports, such as W2’s and 1099’s. You must also restore the updated eForms templates in

eCMS (see release notes) before running the process to generate the forms.

Year-End Processing Update

[Year-End Update] – Year-End Fix Packs, User Guides, and Documentation
Year-End Fix Packs
 
With the recently issued government changes, we are still in the process of finalizing the 2020 Year-End Fix Packs. The 2020 Year-End Fix Packs will be generally available for all supported product releases at the end of December of 2020. The Year-End Fix Pack will include changes for both US and Canadian customers. The 2020 Year-End Fix Packs will ONLY be provided for the release levels shown below. If you are using an unsupported release level and have not already done so, please submit a ticket requesting an eCMS upgrade to a supported release as soon as possible.
 
Release Levels Supported:
 
  • eCMS v.4.2
  • eCMS v.4.1 SP3 Fix Pack 6 or later
  • eCMS v.4.1 SP2 Fix Pack 8
  • eCMS v.3.7 SP12 Fix Pack 4
  • CMS v.3.4.3 SP14 Fix Pack 3
 
Please note that you do not need to install the Year-End Fix Pack prior to running the annual year-end rollover. The normal year-end roll-over can be run before or after the installation of this fix pack.
 
Please also note that you do not need to install the Year-End Fix Pack prior to running your first 2021 payroll. Only before doing any year-end reporting.

Federal Tax Conversion Before First 2021 Payroll Checks

Dear Valued customer,
The attached document describes the Federal Tax Table conversion that needs to take place sometime in December before you process the first payroll (checks dated 01/01/2021 or later).
For our Hosted customers, this will be installed automatically in the next couple of weeks. Hosted customers will be notified when this takes place.
For our Enterprise customers, we need you to submit an incident and give us 3 possible dates and times (if possible) that we can have the software delivery team schedule to install and execute the conversion. Everyone needs to be off the system to do this because the conversion involves screen changes to the Employee Master file.

eCMS Multi-Factor Authentication is available with eCMS v.4.1 SP3 FP5 or higher

eCMS administrators now have an option to enable Multi-Factor Authentication (2-Step Validation) to enhance login security. By default, this feature will be disabled and have to be enabled by Admin as explained in section 1.1 below. For now, when enabled, the security code will be delivered via email only. Prior to enabling this feature, ensure all eCMS user profiles include valid user email account information. Coming soon, the eCMS administrator will have the capability to exclude specific users from requiring this authentication.
 
To implement this security technology, you need to be at release eCMS v.4.1 Service Pack 5 or higher. The attached user guide gives you the steps to implement this security technology.
 
After reviewing this documentation, if you feel additional guidance is needed, please submit an incident.
